Data Extraction Questionnaire
Easily identify next steps in your extraction project
Kickstart your extraction
The Extraction Questionnaire is a tool to assess your current application status.
Based on the outcomes of the questionnaire, we can advise you in identifying next steps on how to extract your data and documents from your application.
In order to define your as-is state, please fill in this questionnaire. After completion of this questionnaire one of our QA consultants will present and discuss the outcomes with you without obligation.

Frequently Asked Questions
General
We are able to extract data from MasterControl, Veeva, Clockwise and TopDesk among others. Are you using another application? Send us a message to determine if we can support your extraction process.
We are able to extract documents and training data among others
We can extract the data in a format that is ready for implementation in a new system. We are also able to help with a migration.
Terminology
metadata is information that each file has but is not always shown in the file itself. This includes for example the document title, the expiration date, and the effective date.
Most applications exist of one or more modules. These are separate sections within an application. For example Document module, Training/Learning module, Process module.
The original document is the document as uploaded in the system. Sometimes the application includes a publisher that creates a PDF from the original document, including for example a title page and a signature manifest.
Process
Assessment: We will assess the set-up of the application installation and the total scope of the project. With this information a plan is made for the rest of the extraction process.
Extraction: The set-up of the application installation will be implemented in the extraction process, and the extraction takes place.
Verification: We will verify the extraction results with the application according to ANSI/ASQ z1.4 (AQL). This verification process will be done with the use of a test script.
Handover: The extracted folder structure with all data and documents will be handed over to you, including the executed test script.
The outcome of the extraction is a folder structure where the infocard number is the top folder. This folder contains a folder for each revision. The revision folder contains the actual documents and attachments.
An example of an extracted folder structure could look like:
Extracted folder structure

Contents of the extracted folders

The total time of the extraction process depends on the scope of the extraction. We are able to make a estimate once the Assessment is finished
Quantity check: The first step after the extraction will be a quantity check. Here we we take the number of files that are extracted from the application and verify that that number matches the number of files that are in the application.
Quality check: After a successful Quantity Check we proceed with a Quality Check. There a subset of folders will be selected based upon the ANSI/ASQ z1.4 (AQL) and the exported files will be verified against the files in the application. The files will also be opened to verify that no file is corrupt. Normal inspection (or General level-II inspection) is the default level used and defined by ISO 2859 as “Normal inspection is used when there is no reason to suspect that the quality level differs from an acceptable level.”
